User Roles & Permissions
Two-Level Access Control
MindBacklog uses a two-level role system: one at the organization level and one at the product level. A user's effective permissions combine both.
Organization Roles
| Role | Permissions |
|---|---|
| Admin | Full access: manage organization settings, billing, subscription, invite/remove users, create/delete products |
| User | Access assigned products, create/edit content within products |
| Viewer | Read-only access across the organization. Can only receive Viewer role at product level |
Product Roles
| Role | Permissions |
|---|---|
| Admin | Full product control: settings, channels, knowledge, features, user management |
| Editor | Create/edit features, stories, bugs, signals. Cannot modify settings |
| Viewer | View all product data. Cannot create or edit anything |
Role Hierarchy
Organization-level Viewer users can only be assigned Viewer at the product level. Organization Admins can be assigned any product role.
How to Invite Users
Step 1
Settings → Users → Invite
Enter the email, select an organization role.
Step 2
Assign Product Access
For each product, select a product role (Admin, Editor, Viewer, or No Access).
Step 3
Send Invitation
The user receives an email invitation. New users will register first, then join. Existing users join immediately.
